Recent healthcare incidents continue to demonstrate an important point: an organization does not need to lose control of its own workstation or server for sensitive information to be exposed. Access to a third-party application can be enough.

For a clinic or professional office, that can include Microsoft 365, an EMR or EHR, billing systems, payroll, CRM platforms, backup services and vendor support portals.

Your security boundary is no longer the office wall. Every cloud application holding business, employee, client or patient information becomes part of the environment you must manage.

The common weakness: identity

Cloud applications are designed to be reachable from anywhere. That convenience makes the account itself a critical security control. A stolen password, weak recovery process, excessive administrator privilege or forgotten former-employee account can expose information without malware ever landing on a clinic computer.

Five questions to ask

1. Who has access? Maintain an accurate list and remove accounts when people leave.

2. Is MFA enforced? Prefer phishing-resistant authentication where the service supports it.

3. Who has administrator rights? Keep privileged access limited and separate from everyday accounts where practical.

4. What data does the vendor hold? Know where sensitive information is stored and how it can be exported or deleted.

5. What happens if the vendor is breached? Know the notification path, support contact and your own response responsibilities.

Securing the laptop while ignoring the accounts that hold the data leaves a major gap.

Small organizations do not need dozens of security products to improve this. Good account inventory, MFA, sensible privileges, prompt offboarding and vendor awareness address a large part of the practical risk.
